Returns got lost between inboxes

The problem.

Details were scattered over e-mails and paper. Nobody could see the whole picture, status questions interrupted the work and parts or labor were forgotten when it came to billing.

Our answer

The solution.

One record per return, automatic numbering, live status for the whole team. The company registers each RMA, the warehouse documents what happens, management releases the shipment – and everything is written to a permanent history.

Capabilities

What it does.

Four RMA types

Repair / Service, Calibration only, Return and Sample Submission – each with the right fields, warehouse actions and printouts.

Created by your team

RMAs are issued by your own staff, not by end customers – you stay in control of what enters the process.

Goods receipt

The warehouse confirms arrival, which starts the work phase and the clock on in-house time.

Work log: parts & labor

Record parts used, hours worked, accessories received and internal notes right on the record.

Photo evidence

Attach photos to document condition – with automatic size limits and retention.

Release gate

Completed work must be acknowledged and released by an admin before anything ships.

Slips & paperwork

Print the RMA slip for the customer and the return slip for the parcel from the record.

Analytics & reports

Volumes, turnaround times, most common repairs, parts used and workload – with a printable management report.

ERP transfer Planned

Parts, labor and flags are prepared for hand-over to your ERP. Direct integration is planned.

Locked records

Finished RMAs are locked; reopening needs a separate password. Sensitive actions ask for your password again.

  • Period filters: month, quarter, year, all time
  • Quality signals: products and failure keywords
  • Actionable insights in plain language

How it works

The flow, step by step.

01CreateAn admin registers the RMA; the app assigns the next ID and prints the customer slip.
02ReceiveThe warehouse confirms goods receipt when the item arrives.
03WorkParts, labor, accessories, notes and photos are recorded.
04ReleaseThe admin acknowledges the completed work and releases the shipment.
05ShipThe warehouse ships and closes the record – locked for good.
Built-in safeguards

Rules the app enforces.

Rights enforced in the database

Only admins create and delete; warehouse and admins edit; view-only users cannot change anything – not just hidden buttons.

Automatic IDs

Sequential RMA numbers with no gaps or duplicates to manage.

Password re-check

Status changes, deletions and certificate removal ask for the password again.

Permanent history

Every status change, lock and unlock is logged – history lines cannot be deleted.
